Start earlier than you think
The single biggest lever on cost and sanity is lead time. Tournament dates are usually published months in advance, and so are the hotel room blocks around them. Booking six to twelve weeks out means better airfare, hotels within walking distance of the venue, and enough rooms to keep the team together. When you wait, you pay more and get scattered across three properties.
Book the team together — not as individuals
For flights, groups of ten or more travelers can often be ticketed as a group, which locks in fares, allows name changes as your roster shifts, and lets everyone travel on the same itinerary. For hotels, a negotiated team block guarantees rooms at one rate with amenities that actually matter for teams: free breakfast, a pool, laundry, and space for a team meal.

Give families a clear per-player number early. A typical tournament trip breaks down into airfare or mileage, lodging (usually split two-to-four per room), ground transport, and meals. Publishing this upfront prevents the last-minute scramble and helps families plan.

Brackets shift, games get moved, and weather happens.
